We are looking for an Office Assistant!

The Office Assistant at Central Referral Solutions (CRS) assists in managing the office
operations side of the business for our growing start-up. You’ll be responsible for helping to manage our operations; you’ll have to be self-motivated and feel comfortable operating independently to excel in this role. The work is completed remotely (virtual office) with a flexible schedule. The primary role of the position to ensure referrals are received, triaged, and sent to the correct specialist.

Overview

The Office Assistant at Central Referral Solutions (CRS) assists in managing the office operations side of the business for our growing start-up. You’ll be responsible for helping to manage our operations; you’ll have to be self-motivated and feel comfortable operating independently to excel in this role. The work is completed remotely (virtual office) with a flexible schedule. The primary role of the position to ensure referrals are received, triaged, and sent to the correct specialist.

What you’ll do

  • Onboarding new clinics to the CRS system, this involves face-to-face interaction with MOA’s and physicians in their clinics
  • Receive referrals through the EMR, have referrals triaged and placed appropriately, and forwarded to the specialist’s office
  • Troubleshooting new processes and issues for clients/partners
  • Track and enter data for the system
  • Communications to clients/partners via phone, email, and in person
  • Operate the different systems, including Med Access EMR, proprietary algorithm, and other databases as needed
  • Work with the Executive Team to streamline operations and make improvements
  • Protect patients’ rights by maintaining confidentiality of personal information
  • Ask questions
  • Be curious

Scheduling

This position is a part time contract position. The Office Assistant works with the other Office Assistant & Executive Team to determine a schedule; with commitment to some pre-determined meetings. The hours of work are mostly flexible but require a commitment to business days and flexible business hours.

Qualifications

  • A strong work ethic, persistence, and drive — you’ll have to be dedicated and resourceful to achieve your goals
  • Exceptional organizational & multi-tasking skills — if you tend to leave tasks half-finished, this is not the role for you
  • Outstanding people skills — depending on the conversation, you will need to be able to engage effectively with the people you talk to. This includes email, phone, and in-person.
  • Owner mentality — you can not remember the last time you said “that’s not my problem”
  • A high attention to detail — you often find yourself getting obsessed by the little things that other people say do not matter
  • Analytical skills — proficient with EMR’s, email, word, & excel
  • Confidence & curiosity – Ability to stand up and say “why are we doing it this way?”
  • A desire to own and shine at what you do, and a passion for helping & empowering others

Requirements

  • Initially able to travel to establish relationships with clients/partners
  • Able to effectively work from a home office

We provide a third-party portal for Primary Care Practitioners (GP’s, FP’s, NP’s) to send specialist referrals to the most appropriate surgeon without the guesswork. We want to build the company out to encompass surgical groups of all kinds and provide streamlined services to patients, specialists and referring providers.
